Gateway85 CID is seeking an outreach director and office manager to act as a liaison to local governments and organizations for the CID and provide regular community outreach and membership services for Gateway85’s member property owners. The selected candidate will support the CID Executive Director and staff with general office management duties and administrative assistance. The position reports to the CID Executive Director and Director of Operations.

Starting pay is $70,000.

Critical Tasks

Outreach Coordinator

  • Coordinate CID partnerships with relevant local, regional, and state staff members and officials; attend relevant meetings
  • Initiate and coordinate code enforcement strategies within the district with Gwinnett County Code Enforcement (Gwinnett County Planning & Development), including residential and commercial properties
  • Maintain and update property owner lists to support regular outreach activities; update and maintain CRM system
  • Provide other constituent member services to property owners as needed
  • Conduct outreach to build relationships with existing property owners and to recruit new ones to join the CID.
  • Coordinate CID-sponsored events

Office Management

  • Ensures coverage of the front desk at all times providing a friendly and professional “first impression” of Gateway85. This should include a person at the front desk to greet and direct visitors, a live person answering phones during regular working hours, and managing incoming phone calls to reach appropriate staff.
  • Mail management including collection of outgoing mail, distribution of incoming mail, and providing appropriate supply of stamps on hand for processing outgoing mail.
  • Monitor office supplies including printer management (paper, toner, etc.) to ensure staff has appropriate supplies on hand to perform duties daily.
  • Oversees, manages and helps develop the organization’s annual budget, scheduling expenditures, analyzing variances, and initiating corrective actions, oversees payroll, expenses, and payments to contractors, reviews supply and travel reimbursement requests.
  • In cooperation with the Executive Director, Board of Director Management:
    • Professional and timely response working “on-call” for the board of director’s requests for information or meetings
    • Monthly calls to the Board of Directors for attendance at board meetings
    • Monthly Board packet management
    • Signatures by the Board for Official documents of CID
    • Preparation of Food, drinks, etc. for monthly Board meeting
    • Liaison for CID as directed (i.e. GDOT Maintenance, Private Security, etc.)
  • Coordination with the landlord for specific office needs related to the facility
  • Develop liaisons with local colleges and universities to build a year-round paid internship program to help with administrative and outreach activities.
  • Coordination with CID staff for specific projects
  • Understand CID vision for further long-range plans; execute necessary steps to achieve CID vision
  • Other assignments upon request.

Preference for applicants with skills or knowledge of CoStar or other real estate data tools and Customer Relationship Management (CRM) applications such as Salesforce or HubSpot.
